Workstations
Service Details
Osgoode ITS provides purchasing, technical support, management and disposal of workstations and devices for faculty; administrative and research centre staff.
- Dell desktops and Lenovo laptops purchased through Osgoode ITS are fully supported
- Mac computers purchased through Osgoode ITS are fully supported only for faculty members when paid through the Faculty Computer Renewal Program (CRP) or research funds
- Hardware installation of computers will be performed within the Ignat Kaneff Building
- Osgoode ITS maintains asset details and warranty information as per York University procurement policies and guidelines
Faculty – Computer Renewal Program (CRP)
- Osgoode provides Full Time and CLA Faculty a rebate for a new computer every three years
- The old CRP computer must be returned when receiving the new one
- Faculty members eligible for CRP upgrades are notified in late April
- The deadline to request a CRP upgrade is the end of October; CRPs cannot be purchased from October to May
Purchasing a CRP Upgrade
- Faculty member to respond to the CRP communication to request an upgrade
- Provide purchase approval once the quote has been finalized, including confirmation of cost centres to charge
- Note, when splitting cost centres, the faculty member must provide the exact amount of money to charge to each cost centre
Faculty – Research
Faculty Research Workstations
- Faculty members and Emeritus faculty can purchase workstations and other devices through research funds
- The deadline for purchasing workstations through research funds is March 15th of each year
Purchasing a Research Workstation
- Faculty member to submit a request to help@osgoode.yorku.ca to request a workstation
- Provide purchase approval once the quote has been finalized, including confirmation of cost centres to charge
- Note, when splitting cost centres, the faculty member must provide the exact amount of money to charge to each cost centre
Faculty Research Peripherals
- Faculty members may purchase peripherals (keyboards, mice, webcams, headphones, etc.) under $1500.00 through SmartBuy, or they can be purchased by Osgoode ITS
Purchasing Peripherals with Research Funds
- Faculty member to submit a request to help@osgoode.yorku.ca to request a peripheral
- If self-purchasing through SmartBuy, the Helpdesk will confirm that the peripheral is compatible with existing systems, or provide an alternate recommendation
- If Osgoode ITS is making the purchase, faculty member to provide purchase approval once the quote has been finalized, including confirmation of cost centres to charge
- Note, when splitting cost centres, the faculty member must provide the exact amount of money to charge to each cost centre
- The deadline for purchasing peripherals through research funds is March 15th of each year
Staff and Research Centres
Annual Workstation Upgrades
- The workstation upgrade list is provided to the Operations Manager
- The Operations Manager confirms staff workstation upgrades with individual departments
Out of Band Workstation Upgrades
Workstation upgrades may be needed at other times due to damage, new positions, etc.
- If a purchase is required as part of a new hire, indicate that it is a new position when submitting the Osgoode ITS Onboarding form
- If the purchase required is not part of a new hire, department head to send an e-mail to help@osgoode.yorku.ca requesting a workstation
- Department head to provide purchase approval once the quote is finalized, including cost centres to charge
Purchasing Peripherals for Staff
Peripherals (keyboards, mice, webcams, headphones, etc.) may be purchased directly through SmartBuy, or they can be purchased by Osgoode ITS on behalf of the department.
- Staff member to submit a request to help@osgoode.yorku.ca to request a peripheral
