Accessing E-mail and Calendaring

Accessing Outlook

With Microsoft 365, there are multiple options to access your e-mail, calendar and contacts:

  • Outlook on the Web – You can access your e-mail from any browser
  • Outlook Desktop Client – Use Outlook Desktop Client from any Windows or macOS workstation
  • Mobile Device – Use Outlook Mobile to access your e-mail from any iOS or Android device

Outlook on the Web

To access your e-mail through a web browser, Sign in to the Outlook on the web via outlook.office365.com using your Passport York credentials (username@yorku.ca)

Mobile – Outlook Mobile

  1. Install Microsoft Outlook from the App Store or Play Store
  2. Launch Microsoft Outlook from the home screen
  3. Enter your @yorku.ca e-mail address (username@yorku.ca) and Passport York password

Mobile – Apple Mail

  1. Tap Settings -> Accounts & Passwords
  2. Tap Add Account
  3. Tap Exchange
  4. Enter your @yorku.ca e-mail address (username@yorku.ca)
  5. Tap Next, then Sign In
  6. Enter your Passport York password
  7. Tap Save

Outlook Desktop Client

  1. Launch Outlook 2016 from the Start Menu or Dock
  2. Enter your @yorku.ca e-mail address (username@yorku.ca) and click Sign In
  3. Enter your Passport York password and click Finish

Accessing Shared Mailboxes

Outlook on the Web

  1. Sign in to the Outlook on the web via office365.com using your Passport York credentials (username@yorku.ca)
  2. Click your account picture in the top right corner
  3. Click Open another mailbox…
  4. Type in the e-mail address of the mailbox you would like to access then click Open

Mobile Device

Using the Outlook App

  1. Install the Outlook App following the Mobile – Outlook Mobile instructions above
  2. Sign in using your Passport York credentials (username@yorku.ca)
  3. From your account inbox, tap the circle beside Inbox
  4. Tap Add Account (Icon – Envelope with a + sign)
  5. Enter the e-mail address of the shared mailbox, tap Add Shared Mailbox

Using a Browser

  1. Sign in to the Outlook on the web via office365.com using your Passport York credentials (username@yorku.ca)
  2. Request the desktop site from your mobile browser
  3. Click your account picture in the top right corner
  4. Click Open another mailbox…
  5. Type in the e-mail address of the mailbox you would like to access then click Open
  6. Click the Share button then select Add to Home Screen
  7. Type a name for the mailbox and tap Add
  8. Tap the icon on your home screen to access the mailbox

Outlook Desktop Client (Windows)

  1. Launch Outlook 2016 from the Start Menu
  2. Right-click on your e-mail address in the left folder pane
  3. Click Data File Properties…
  4. Click the Advanced button
  5. Select the Advanced tab
  6. Click Add and type the e-mail address of the mailbox you would like to access, then click Open
  7. Click Apply then OK twice to close the dialog boxes
  8. Close and re-open Outlook 2016

Outlook Desktop Client (macOS)

  1. Launch Outlook 2016 from the Dock
  2. Right-click on your e-mail address in the left folder pane
  3. Click Account Settings…
  4. Click the Advanced button
  5. Select the Delegates tab
  6. Under Open these additional mailboxes: click +
  7. Type the e-mail address of the mailbox you would like to access, then click Add
  8. Click OK then close the Accounts window
  9. Click Continue on the Verify Certificate window
  10. Check Always use my response for this server
  11. Click Allow
  12. Close and re-open Outlook 2016

Sending E-mails from Shared Mailboxes in Outlook Desktop

  1. Click New E-mail on the ribbon
  2. Click Options -> From on the ribbon
  3. Select the mailbox to send from by clicking the From ˅ button
